Review data handling before you connect

Your evaluation should cover how a proposed workflow accesses systems, processes information, and records actions. Discuss these requirements alongside the business use case so the agreed design reflects your organization's needs.

Questions to cover in your review

Access and permissions. Which users and system connections need access? Which actions require read access, write access, or approval?

Data processing. Which records enter the workflow? Where are they processed and stored? Which service providers are involved?

AI-assisted workflows. Which information is sent to an AI service? How is its output used? Which decisions require human review, and what records are retained?

Retention and removal. How long is each data type retained? What happens when the service ends? Which contractual or other requirements affect removal?

Operational controls. What monitoring, recovery, change control, and incident processes apply to the agreed deployment?
